Meeting Minutes:  7pm 1/14/09 Insurance Works conference room

Present:  Peggy Littrell, Bill Fortune, Ken & Sandy Duff, Tom Walters, Griff Baute, Jessica & Terio Sutherland, Mike Bagley

Minutes from December 2008 reviewed, modified, and accepted.

VP- nothing to report

Treasurer-  $47,561 in the bank at end of 2008, this was more than planned in the budget.  Charitable donations to be discussed later.  All expenses are up to date and being paid as they arrive.  100 membership renewals and 60 banquet reservations so far.

Racing- no report.  The racing topic in the forum has been well used thus far.

Ride/Touring- Rides ranged in distances from 10-126 miles.  Rides started as far away as Berea (an overnight ride) and Wolf county (Slade).  2008 was also a record year for the number of club rides available.    

Nominating- a good turnout in number of ballets returned, all chairs were accepted.  Notebooks will be put together for each committee chairperson to delineate duties and responsibilities, contact info, lessons learned, past history etc, to be passed on to their successors and to record notes.  Peggy felt the balloting process went well.

Horsey Hundred- Meeting tomorrow night at Mike Bagley’s house.  There is a glitch with Active.com preventing people from registering; it should be working by this Friday.  An information sheet has been written to update the BCC website.  There is a meeting with Georgetown College to discuss food options tomorrow. 

Membership-  100 people have renewed their membership so far.  Discussed mailing a membership packet including membership card, decals, brochure, directory, welcome letter to each member.  Will have a registration table at the banquet, will give membership packets at the banquet to those who have renewed already, and those who sign up there. 

Advocacy-  Mayor’s Bike Task Force meeting scheduled for January 23 at 11:30am.  Bike Lexington would like the club to increase our financial sponsorship of the event.  There was discussion of our partnership with Bike Lexington and our mutual benefit from it, and the entertainment opportunities for riders coming to town for the HH.  The club has budgeted an increase in our financial commitment to Bike Lexington from $500 to $1000. 

Education-  Griff Baute has been accepted as an Ambassador in the League of American Bicyclists.  There are only 17 such ambassadors nationwide, and Griff’s area covers a large multi-state region. 

There was a discussion on moving the Red River Rally from the second Sunday in October to either the 1st or 3rd weekend to prevent conflict with the 2nd Sunday event in Lexington.  Bill Fortune will investigate the availability of the state park shelter on either of the alternate weekends. 

Old business-

• Bike Giveaway- cost to club $8300, including donations for helmets, pizza party, and 50 bikes.  Dwayne would like to maintain this partnership, it was suggested that a bike lock be included in the giveaway.  Improvements for next year possibly: more mechanics, a mechanic stationed at the bike rodeo, and evening out the timing between stations.
• Off-season training has been well attended with Robert Underwood at the LAC, and another training session has started in Frankfort. 

New business- 

• Annual Banquet- agenda- decoration committee to meet at 4:15 Saturday.  Agenda was discussed in detail, extensive discussion on the treasurers report, Red River Rally date, Bike Lexington sponsorship, and other motions to be put to a vote by the membership.
• Liability- to meet insurance requirements, any ride posted anywhere on the BCC website must sign a ride sign in sheet to waiver liability. 
• Facebook- there is a Facebook group for the BCC on the internet. 

Meeting adjourned at 9:10pm.  Next meeting February 11, 2009, @ 366 South Broadway from 7 to 9pm.

General Meeting 1/17/09 at the Annual Banquet

Business items:

• A motion was passed to continue the free membership for first time members for 2009.  Members speaking for the motion cited the increase in club membership, and the possibility of increasing revenues from dues.
• A motion to give a $20 discount for the Horsey Hundred to paid members of the club was defeated.  Members speaking against the motion were concerned that this may dissuade volunteerism for the event, that this may lower revenue for the club’s primary fundraiser, and that other membership incentives already exist, including the volunteer ride and Horsey 4 hour volunteer gets to ride free program.
• The Red River Rally is scheduled for the 3rd weekend in October (10/17-10/18).
